FAQ’s
What type of companies do you help?
Our typical clients are $500k-$15M revenue service businesses across industries, such as construction, home services, e-commerce, medical, consulting, content creators, etc. We do not work with restaurants, bars, or car dealerships.
Why Do New Clients Hire You?
New clients have often outgrown their accountant and are ready for orderly financials that actually help them grow their business. At first, they wanted inexpensive bookkeeping that’s solely enough to tally up expenses and provide their CPA with annual totals. Once they hire a few employees or start optimizing for profitability, they realize that their books are their source of truth. Most new clients also need their books cleaned up, especially if they integrated an app to QBO or are being taxed as an S-Corp, partnership, or C-Corp.
What QuickBooks Problems Do You Fix?
Some of the top issues we help fix: invoice/payment mismatches, 3rd party app integrations, payroll discrepancies, Schedule L doesn’t reconcile to QBO, undeposited funds, uncategorized income, uncategorized expenses, double counted revenue, chart of accounts, loan/asset issues, commingled personal expenses, etc.
How does pricing work?
Our pricing is provided upfront with a detailed scope of work so there are no surprises. We review the books, identify issues, and architect any changes that are appropriate for the stage of your business in order to provide a customized proposal. Some factors that affect pricing: accrual vs cash basis, job costing needs, KPI tracking, invoicing process, payment methods, tax entity type, lines of credit, loans, volume of transactions, app integrations, deleted transactions, payroll discrepancies, bill payment process, number and type of accounts, etc.
Which pricing package should I choose?
The pricing packages on our website are a starting point for monthly bookkeeping services. Before we provide our recommendation, we perform a paid 50-step Diagnostic Review to better understand your bookkeeping needs. Oftentimes, clients need help catching up on bookkeeping from previous months or a detailed cleanup to correct issues first. You will know pricing upfront before we begin any work. We highly recommend requiring a scope of work and price upfront before letting anyone make changes to your books.
Will you work with my CPA or tax preparer?
Yes! We prefer to speak with your CPA/tax preparer when you sign up with us and also keep them in the loop – if they’re willing. We think clients typically receive a better overall service if both both the tax professional and bookkeeper are on the same page. There are a number of things that can fall through the cracks otherwise, including sales tax, accountable plan reimbursements, S-Corp reasonable compensation, mileage tracking, depreciation, receipt management, etc.
Do you pay bills, send invoices, etc. for clients?
We typically do not pay bills or send invoices on behalf of our clients. However, we do offer additional services for larger clients on a case-by-case basis.
What about payroll?
We reconcile payroll each month so that we can identify issues, such as a failed direct deposit, incorrect payroll mapping, and glitches. Many payroll providers offer automated payroll processing, and we can help you get started. If “running payroll” is a problem for you today, some common fixes are hourly time tracking in your payroll system, switching to a better payroll provider, automating payroll, or implementing an approval process for your approval before payment. Payroll issues often get ignored, so we spend a lot of time focusing on this during our initial reviews and cleanups. However, we do not act as payroll administrators and are not responsible for paying clients’ payroll taxes, which should be paid automatically by your payroll provider. (Google TFRP for more information.)
What do I need to send you each month?
Most banks support modern integrations so you don’t have to provide us with statements each month. Payroll providers typically provide accountant access to download your reports and forms as well. If you write and deposit checks, we prefer having view-only access to bank accounts so that we can download check images and deposit slips without bugging you each month. You can also upload the documents to our secure Client Portal instead. Loan, vehicle, line of credit, and other documents are requested upfront, and any other documents can be uploaded to our secure Client Portal at your convenience.
How long does it take to hear back from you?
We reply to questions within one business day 95% of the time. Complex questions may require additional time or a call to discuss further. Oftentimes, we’ll send a short video walk through or step-by-step instructions so you can get what you need faster. Due to increasingly realistic AI impersonation, we may not respond to new client inquiries that seem illegitimate. They often pretend to be a prospective client or CPA who wants to refer us clients but end up providing a suspicious link as part of their social engineering campaign. Cybersecurity awareness is extremely important, so please be diligent!
What Areas Do You Serve?
We serve US companies throughout the country and provide our services virtually. We don’t accept shoeboxes of receipts, but our virtual mailbox is in Dallas. Our founder, Jacob, is based in Houston and often works from Airbnbs around the world. He has a background in cybersecurity, so his portable office setup includes a firewall/router tethered to a dedicated 5G hotspot for additional security and load balancing. In other words, you won’t catch him joining public WiFi. (If you’d like tips on improving your cybersecurity, mention that in your inquiry!)
