OrderlyBookkeeping QuickBooks App: Privacy Policy Version 1.0 · Effective October 22, 2026
This policy explains what data the OrderlyBookkeeping app (the “App”) accesses in a client’s QuickBooks Online company, how Orderly Bookkeeping, LLC (“Orderly,” “we”) uses and protects it, how long we keep it, and how it is deleted. This policy covers the App only; Orderly’s general website privacy policy is at https://orderlybookkeeping.com/privacy-policy
1. Data the App accesses
The App may access the following information in client’s QuickBooks Online company:
- company information (name, address, fiscal year, settings needed for bookkeeping);
- the chart of accounts, classes, locations and items;
- customer, vendor and employee list records (names, contact details, and other fields stored in QuickBooks);
- transactions, journal entries, attachments and their details;
- financial reports such as the profit and loss, balance sheet, general ledger and transaction lists;
- other information and data accessible to Orderly through our access to your QuickBooks account.
The App never receives your Intuit password; sign-in is handled by Intuit. The App does not access full payment card numbers or account numbers through the Payments API.
Orderly also works with records you send us directly, such as bank and card statements, bank downloads, receipts and bills. Those are handled under this same policy when they are used with the App.
2. How we use it
We use the data to provide the services in our Agreements with our Clients, which may include but is not limited to recording and categorizing transactions, attaching source documents, reconciling accounts, preparing reports, quality control, and keeping a record of our work. Using this App enables us to provide better services for our clients by increasing accuracy, attaching receipts to transactions, and enriching data (such as bank memos) with additional information to assist in quality control and financial analysis. (Ask us about pivoting on a UID to compare your general ledger to supporting documents!)
We may use software tools, including AI-assisted tools, to prepare and check work. We make a reasonable effort to limit the data that this App can access and to prevent unauthorized access to data, records, and systems. Please contact us if you have any questions, because your privacy, our professional ethics, and the ability to provide you with quality financial services are very important to us.
3. Who we share it with
We share client data with service providers only in accordance with our Agreement, which may include:
- Intuit, which hosts QuickBooks Online;
- cloud storage and productivity providers (e.g., Google Workspace), where working files and records are stored;
- AI tool providers (e.g., Anthropic with ‘Help improve our AI models’ turned off);
- security tools such as a password manager;
- other apps or advisors the client chooses (for example, the client’s receipt-management tool or tax professional).
We may also disclose data when required by law, subpoena or court order, to protect Orderly’s legal rights, or other other permitted disclosures stated in our Agreement.
4. Where data is handled
Orderly works remotely and is a digital-first company. Client data is stored in Orderly-controlled cloud accounts and on Orderly-controlled devices. Orderly devices have drive encryption enabled where applicable, strong password policies, and other reasonable cybersecurity best practices. Feel free to reach out to discuss cybersecurity best practices that we adopt.
5. How we protect it
- Connection through Intuit’s OAuth 2.0 authorization; access tokens are encrypted before storage and kept in a secure credential store, never in code or code repositories.
- Multi-factor authentication on QuickBooks logins and storage accounts.
- Full-disk encryption on Orderly computers; data encrypted in transit (TLS).
- Access limited to Orderly personnel who work on the client’s books.
- The App runs on Orderly’s own computers and is not accessible to others through the internet.
No system is perfectly secure. If we learn of unauthorized access to client data, we will notify the affected client without unreasonable delay and as required by applicable law.
6. Retention and deletion
- Access tokens: deleted within 30 days after the App is disconnected or the engagement ends.
- Work records (change logs, snapshots of the books, source documents and reports): may be retained so that we are better able to assist our clients with their professional needs and, in some cases, to comply with professional guidelines.
Clients may contact us to discuss data retention and deletion policies and requests.
7. Client choices
A client may at any time ask for an export of records for its company, ask us to correct data, ask us to delete data as described above, or disconnect the App in QuickBooks Online.
